A sale can complete when the recorded count of its package form is too low. If a box was physically opened but the packaging change was not recorded, the system may show a negative singles count and queue a reconciliation notice.
Checkout does not silently open a box. Reconciliation is a separate online step after the sale.
Review the notice
In Stock → Packaging reconciliation, find the item and choose Reconcile opened packages. The register can also show an online packaging notice with a Review action for the item.
- Check the item and the package form with the shortage.
- Select the larger package that was actually opened.
- Enter how many packages you opened.
- Check the source and destination counts in the preview.
- Choose Review change, then confirm the packaging change.
The operation uses current stock counts, including sales recorded since the notice first appeared. If another person already changed those counts, refresh before confirming again.
Example
You have 3 boxes of 20 cigars and 2 singles. A customer buys 5 singles after someone opens a box.
| Point in the workflow | Boxes | Singles |
|---|---|---|
| Before the sale | 3 | 2 |
| After the sale, before recording the opening | 3 | −3 |
| After confirming that 1 box was opened | 2 | 17 |
Confirming the opening removes one box and adds 20 singles to the current −3 count. It does not change the receipt or create another sale.
If you did not open a package
Choose Cancel to leave the notice pending without changing stock. Investigate the actual cause rather than guessing that a box was opened.
For example, the shipment may not have been received, an incorrect package may have been sold, or a physical count may need correction. Ask a manager to handle receiving or total-count corrections when needed.
If no larger packages are recorded as available, refresh or ask inventory staff to investigate. Confirming only part of an opening can leave a remaining shortage for further reconciliation.
Who can confirm
Anyone authorized to make sales at the location can confirm a packaging change that preserves total units. The action is recorded for later review; it does not require advance manager approval.
